CONTEXT

The software redistribution landscape in Africa has multiple players and is highly interdependent

PROBLEM

But the quote creation flow relies on disjointed isolated systems and manual data duplication

Having to do everything manually with no cross-system intelligence to ensure accuracy, admins need to address bottlenecks due to manual errors and can't scale order processing.

DESIGN DIRECTION

So we designed an automated quote creation flow as a part of the larger IT distribution system

01 Move quotes, not tasks

The admin's job isn't completing tasks. It's moving quotes through a lifecycle. Status became the organizing principle for every decision the system needed to make.

02 Surface what matters first

Not every quote needs the same attention. The system needed to surface what was blocking progress right now and stay out of the way.

03 One system. Every quote.

Six disconnected tools replaced by one. Every vendor, every reseller, every quote, tracked in a single platform the admin trusts.

The same button position, different label at every stage. The action surfaces based on where the quote is in the lifecycle, not where the admin remembers to look.

Status-mapped secondary actions

The context menu adapts fully to status. Irrelevant options don't appear, what's visible is always actionable.

Extend expiry in bulk

Extension is relative to each quote's own expiry date, not a flat input. Expired quotes and active quotes behave differently because they are different.

Send reminders in bulk

Reminder type auto-selects based on sub-status: registration, confirmation, or payment. One action, the right message every time.
